Key Points about Importer

• CTB Importer only handles contribution records
• If the source file includes organizations as well as individuals, organizations must be in a separate field
• First Name and Last Name should be in separate fields if possible.
• Customer must supply a sample source file for testing
• CTB Importer does not have an expire date
• Included is tech support for one year from date of delivery
• The source file is scanned before any records are imported. If any problems are found, they must be corrected before any records are imported.
• The records are NOT checked for statutory items such as occupation if more than $100. The only testing is for data type. (Data testing is still done in Campaign ToolBox during the report creation process)
• Turn-around time can be as short as 48 hours, depending on the complexity of the project and what other projects are already in process.
• If you have data (such as occupation) that will always be the same on all records, you can choose to have those fields "hard coded" into the program so that they do not need to be in the source file.
• Any customer-requested changes needed after the program is delivered can be done on a per-hour basis.
• The program attempts to match imported contribution records with existing demographic records by looking for an exact match with the first and last names, and matching the first 3 characters of the address. There is a potential for incorrect record linking due to things like "John Doe, Jr." and "John Doe, Sr." living at the same address. Customer must accept this limitation as inherent in the program.

CTB Importer begins by scanning the source file to make sure that it meets the source file requirements. If no problems are found, it displays a message box with the quantity of records to be imported and asks if you want to import the records. If a problem is found, it will report what it finds, and the problem must be corrected before proceeding.
